Board of Directors / Committees Positions and Responsibilities
Board of Directors Positions and Responsibilities
President:
The Presidents shall preside at all meetings of the Club and shall have such powers and duties usually associated with the office of the president.
1st Vice President:
The 1st Vice President shall be the liaison of the Club's All Academies Ball Committee and shall represent the Club to other Academy Ball committees.
2nd Vice President:
The 2nd Vice Presidents shall lead the membership drive, collect dues and maintain all membership records.
Secretary:
The Secretary shall keep a record of the proceedings of meetings.
Treasurer:
The Treasurer shall keep an accurate and complete account of all funds received and distributed, and shall be responsible for filing federal and state tax returns if required.
Representatives Positions and Responsibilities
Class Representatives:
Each class should have a parent liaison to relay information to the parents and Mids of their class.
Committees Positions and Responsibilities
All Academies Ball:
Special Note: Our Club will be responsible for the 2008 Ball. This committee is chaired by the 1st Vice President. Volunteers are needed to help with all areas of the ball - Reservations, Printing, Decorations, Entertainment, Program, etc.
Army-Navy Game Party:
This event is organized by USNA and USMA alumni. A volunteer is needed to help coordinate invitations and reservations to our membership.
Awards:
This volunteer shall coordinate the ordering and distribution of the "Silver Dollar" and "Go For It" awards given to 1st and 2nd class midshipmen at the All Academies Ball.
Blue and Gold Luncheon:
This event is held in June, as a "Welcome Aboard" to the incoming class. This event is chaired by the President; however, committee members are needed to assist with invitations, reservations, programs, seating arrangements, potluck coordination, gifts, etc.
Buddy Family Program:
This volunteer would "match" upper class parents with plebe parents. Primary responsibilities are to coordinate the matching and notification to plebe families then to follow up with volunteer families as needed.
E-Notices and Newsletters:
A volunteer is needed to work with the president on these projects as needed.
Fund Raising - Blanket Sale Coordinator:
This volunteer shall handle all phases of our fundraiser - ordering product, advertising and public announcements, printing flyers, and mailing blankets to customers. Records should be kept on all orders, and funds should be given to the Treasurer in a timely manner.
Hosts and Hostesses needed:
Host families are needed for our club meetings, including: September Kick-off - Casual party, "care packages" prepared for all Mids October meeting - Any format, "Trash or Treat" packages prepared for Plebes Navy Football - If possible, we gather at any location to cheer for Navy! January meeting - Any format, Valentine treats are prepared Year-end Barbeque -Potluck party to wrap up the year Events may be held anywhere - homes, businesses, clubhouses, parks, etc.
Golf Tournament:
This volunteer would be our club liaison to the Army-Navy Shootout Golf Tournament. Other volunteers will be recruited as needed for pre-tournament planning and day-of activities.
Ladies Luncheon:
This special event is held every spring to honor all the women of our club. Guests are welcome - grandmothers, sisters, aunts, and friends! A volunteer is needed to help with location, invitations, caterer or food preparation, flowers, etc.
Mid "Care Packages":
Several times each year, our club sends treats to the Mids. Currently, all Mids receive a "Back to School" care package, and Plebes receive "Trash or Treat" candy bags at Halloween. A small treat is also sent at Valentines Day.
Special Note: We have a member who will handle the shipping of boxes to USNA.
Mid Pizza Party Coordinator:
The club sponsors two pizza parties for the Mids, one in the fall and one at Valentine's Day. This volunteer will hopefully also recruit their Mid to assist with e-mail notification to the Arizona Mids, handle the RSVPs, and order the pizzas and drinks.
Special Events as needed:
We are always at the ready to host a visiting Navy sports team, club, or official!
Website Management:
This volunteer will be responsible for maintaining our club website at www.USNA.org
